Approval of Contract

We begin with a brief conversation to clarify your goals and needs, and answer any initial questions you may have. Consultations are free of charge.

Next, we review your current bookkeeping and financial accounts. This ensures we have the necessary information to provide an accurate service proposal.

We submit a proposal for services. See below for how we determine pricing for our services.

Once you have approved the proposal, a $150 deposit is due. This deposit is credited toward your first quarter’s cost of recurring service.

Pricing & Billing

For recurring service packages, we price at a flat rate between 2-4% of the business’s gross annual revenue. We determine the quoted price based on several factors, including the complexity of the business, the volume and variety of transactions, and the quality and timeliness of financial information received from the client. Recurring services include: categorizing transactions, reconciling accounts, year-end closing, quarterly or monthly meetings, and standard periodic reports.

Payments for recurring service packages can be made quarterly or monthly, depending on your contract, and payment is due at the end of the month or quarter. Payments for recurring service packages can also be made annually. Annual payments are billed at a 10% discount and are due when the quote for service is accepted.

We conduct an annual assessment at our end-of-year meeting, which allows us to determine your organization’s needs for the coming year and inform the next year’s service proposal.

For one-off services, we price at an hourly rate of $30-50/hr. We determine the quoted rate based on several factors, including the urgency of the client’s deadline, whether technical issues are involved, and the overall complexity of the job. One-off services include: non-standard reports by request, setup of new Quickbooks accounts, and cleanup of existing Quickbooks accounts for new clients.

We require a $150 deposit for one-off services that we estimate will take 3 or more hours to complete. Full payment is due at completion of service.

Clear Expectations

We require our clients to have digital, cloud-based accounting software; our default tech stack includes Quickbooks Online (QBO) and Dropbox. We accept digital payments through QBO, PayPal, and other digital payment platforms.

If you’re unsure what ‘the cloud’ is, and ‘tech stack’ sounds like a foreign language, no worries. We can help digitize your financial systems, and help you learn the skills to manage it skillfully.

We endeavor to be very clear about our terms of service – but if something remains unclear, please ask. We prioritize transparency and clear communication.
